Are your clients bored with the ballroom? Or maybe you can't find a space that will fit the number of attendees you expect? Don't let walls define you or your events! This session will provide an in-depth look at the pros and cons of taking events outdoors. As any good architect would do, we will discuss the 'nuts and bolts' of events once you take them beyond the banquet hall. The first 45 minutes will be presented by Renee Ortiz of Eventful Productions, and the last 30 minutes is an opportunity to visit various roundtable discussions with experts from each area of outdoor event production.

DELIVERABLES:
• Learn to weigh the pros/cons, risks/benefits of taking your event outdoors. Ask yourself: what challenges does this create versus outcomes?
• Learn that timing is everything, and review a sample planning timeline. Attendees will learn not to rush into an outdoor event, as venue selection, budget scenarios, vendor selection and permitting all takes time!
• Learn the nuts and bolts that are different outdoors versus indoors. This includes tent sizes/options, how to think of rental equipment and decor in 'outdoor' terms, how to power it all successfully, considerations when making a public space private, and ways to overcome weather challenges. A sample power worksheet will be provided.
• Learn how to select the right size space, so the area is comfortably full. Attendees will receive a capacity chart and variety of venue layout options.
• Learn the cost/budget impact of deciding to take an event outdoors. Attendees will receive a budget framework.
